SPOILS FIELD RENTAL AGREEMENT - 2013 SEASON

The following schedule details costs and usage fees associated with the rental of Spoils Field and any facilities operated by the Spoils Field management and The Village of Greenhills.  The management reserves the right to alter theses fees for Spoils Field Softball Leagues and its employees.  If a renter desires only to reserve the field, the management reserves the right to cancel such a reservation with a two week notice.  Such a cancellation would be due to a renter wishing to use a larger part of the facility.

 

All renters should be aware that the Spoils Field facility is a State of Ohio Licensed Liquor Premises.  BRINGING ALCOHOLIC BEVERAGES ONTO THE PREMISES IS PROHIBITED BY STATE LAW.  Any persons bringing alcoholic beverages onto premises will be asked to dispose of it immediately and may be asked to leave.  The person signing this rental agreement will be responsible for monitoring such activity.

_____ $50 / $100 General Usage Fee/Deposit - Due at time of reservation of any facilities.  This fee covers general overhead costs and includes, but is not limited to, utilities, ice, management time, etc.  This fee is non refundable.  $50.00 Village Residents, $100.00 Non-Residents.

_____*$35.00 Cleaning fee (on season) – Due at time of reservation.  This includes the restrooms, bar room, concession stand, and pavilion.  If the reservation is cancelled prior to usage, this fee will be refunded.  The cleaning fee is used for sanitary and detail cleaning.  Users are still required to pick up all garbage and leave the facility the way it was when they came.

_____$10/Hr. Hourly Employee Rate – Whenever the concession stand and/or bar room are to be used, it is required that an employee is present and paid this rate.  This person will be responsible for serving any beverages or concession items.  Two hours is the minimum time for which an employee shall be paid.

_____$25.00 Field Preparation Fee – This is the cost to have the softball field dragged and lined.  Bases and home plate may be used at no additional cost.

_____$25.00 Hourly rate for lights – This is the hourly rate to cover the electric cost of the field lights.

_____$110.00 Half-Barrel of Beer Cost – Beer usage will be rounded to half of the half barrel of beer.  Once a keg is tapped, the renter will be charged for half of its contents.

_____$60.00 Soft Drink Charge for the first 50 persons – This covers “all you can drink” and is a minimal charge if soft drinks are to be used.  An additional $25 per 25 people will be charged over 50 people (i.e. , 125 people will cost $135.00).

 

If the user prefers not to purchase beer by the half barrel or soft drinks by the group rate, the following prices will be used:

_____$2.00   16 oz Cup of Beer                                             _____$1.00   16 oz Cup of Soda

_____$2.50   20 oz Cup of Beer                                             _____$1.25   20 oz Cup of Soda

 

A minimum $50 deposit is due upon reservation, and complete payment is due by the start of the event.  Cancellation of event less than 72 hours prior to date of event will result in forfeiture of all deposits and monies paid.

 

During the off season,* the cleaning rate schedule will be as follows:

_____$35 Cleaning Fee – Use of Restrooms only - Due at time of reservation.

_____$35 Cleaning Fee – Use of bar room only - Due at time of reservation.

_____$35 Cleaning Fee – Use of concession stand only - Due at time of reservation.

_____$60 Use of any combination of two or more of the above.

            *Off Season is defined as that time of year when the facility is not open for softball leagues and/or tournaments.  Determination of “On Season” and “Off Season” will be made by the management of Spoils Field and is not negotiable.

 

The Cleaning Fee is used for sanitary and detail cleaning.  Users are still required to pick up all garbage and leave the facility the way they found it on arrival.

 

Desired items should be checked.  Return one copy with the deposit, and keep one copy for your records.  Make checks payable to Village of Greenhills.  There is a $25 returned check charge.
